Spot Ledger Documentation is a knowledge hub operated for use by authorised team members only. This policy explains what personal data we collect when you use the platform, how we use it, and the choices you have.

2. Data We Collect

  • Account information — your name and work email address, provided at sign-up via your organisation's SSO.
  • Usage data — articles you view, search queries you run, and feedback you submit, used to improve content relevance.
  • Editor activity — articles you create or edit and the timestamps of those actions, recorded for version history and audit purposes.
  • Notifications & bookmarks — in-app notifications and reading-list entries associated with your account.

3. How We Use Your Data

  • To provide and operate the knowledge hub for your team.
  • To personalise article recommendations and search results.
  • To send in-app notifications relevant to articles you follow or own.
  • To generate aggregated, anonymised analytics that help administrators improve content quality.

4. Data Retention

Your account data is retained for as long as you are an active member of the organisation. Usage logs and search queries are retained for up to 12 months for analytics purposes. Article version history is retained indefinitely to support audit and rollback needs.

5. Data Sharing

We do not sell or share your personal data with third parties for marketing purposes. Data may be shared with cloud infrastructure providers who process it on our behalf under appropriate data-processing agreements.

6. Your Rights

You may request access to, correction of, or deletion of your personal data by contacting your platform administrator. Where applicable, you may also have the right to object to or restrict certain processing activities.
